Payments and Reconciliation:

Schedule payments to experience providers and suppliers.
Perform reconciliation of service costs versus selling prices.
Reconcile credit card transactions used by host assistants.
Retrieve invoices for credit card payments.
Conduct card transaction reconciliation in Xero.

Financial Record Keeping:

Update service prices in SalesForce.
Determine and audit discrepancies made by host assistants and card users to assess chargeable amounts.
Reconcile invoices and bills related to groceries lists.
Make necessary adjustments and updates in Xero and SalesForce.

Vendor Relations:

Maintain relationships with experience providers.
Communicate with suppliers to ensure timely and accurate payments.
Assist with vendor inquiries and resolve issues promptly.
General Accounts Payable Functions:

Review and verify invoices and purchase orders.
Ensure all payments are made accurately and on time.
Assist in the preparation of financial reports related to payables.
Monitor accounts to ensure payments are up to date.
Manage accounts payable aging to optimize cash flow.
Work closely with the Accounting Manager on financial analysis and budgeting.
Assist with the determination and calculation of commissions.
Bank Reconciliations:
Download & perform daily bank reconciliations in company Accounting softwares.
Ensure that all invoices and bills in accounts payable (AP) and accounts receivable (AR) are processed and reconciled correctly.

Tax Reporting:
At the end of each month, complete all tax-related documents in Excel.
Review monthly tax obligations with the Accounting Manager.
Submit monthly tax returns for IVA and ISR to SAT.
Validate IMSS payments.
File the ISN tax returns.
Assist the Accounting Manager with the annual tax returns.
Prepare the monthly DIOT declaration.
Download and validate invoices in SAT.

Payroll Accuracy:
Process bi-weekly and monthly payrolls.
Weekly updates of the employee database in IMSS.
Capture payroll incidents during the period.
Inform the Accounting Manager of payroll amounts.
Accurately record payroll in Conta Digital and Xero.
Maintain control of the "Fondo de Ahorro" per employee.
Compare EMA and EVA in IMSS.
Update INFONAVIT credits of employees in the payroll.

Month-End Excellence:
Notify the Accounting Manager when all bank accounts are reconciled to close the periods.
Ensure that all expenses are correctly recorded in the month they were incurred.
Verify that all bills are accurately registered.
Generate the monthly invoice to Maya Luxe International Group LLC from ML Concierge Services.
Create and cancel provisions for the previous month as needed.

Financial Insight:
Prepare the previous P&L and balance sheet for review by the Accounting Manager and Director of Finance.
Make changes and reclassifications in the accounting as requested by the Accounting Manager.
Request the Accounting Manager to create new accounts in the charter of accounts when necessary.

Audit Readiness:
Assist in preparing information for audits.
Prepare documentation to respond to tax authorities during audits.
Share all required information with tax authorities and audit firms for review by the Accounting Manager.
