JOB DUCK IS HIRING AN EXECUTIVE ASSISTANT



Job Duck is a virtual staffing company that matches candidates to work from home for a single U.S.-based business, usually a law firm.



The Executive Assistant's role is to protect the COO's time and mental space by tracking administrative details and clearing the way for the COO to make the most significant contributions to the company. They will be a valuable asset to the COO and Lead Executive Assistant by anticipating needs at a high level, allowing for the development of vision and strategy for all aspects of the business.

While repetitive tasks are undoubtedly a part of this position, the tasks assigned can vary from week to week depending on the needs of the COO and the Lead Executive Assistant as well as the needs of the business. To support his initiatives, the most important responsibility is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity.





The starting salary is USD 900.



Duties and responsibilities will include but are not limited to the following:



-Protects COO's Time and Headspace.

-Daily communication with the COO and Lead Executive Assistant.

-Helps the Lead Executive Assistant with tasks and projects.

-Tracking and managing projects and tasks delegated by the Lead Executive Assistant.

-Managing the COO's email inbox.

-Call screening for he COO and Lead Executive Assistant.

-Has weekly meetings with the Lead Executive Assistant Team to review tasks and future projects.

-Always being proactive and thinking ahead.

-Answering scheduling queries via email and phone.

-Performing various administrative tasks as and when required.



Skills and Requirements



-Associate's or Bachelor's Degree in Business Administration or an industry-related field.

-A minimum of 2 years experience in a similar role

-Advanced proficiency in scheduling and calendar management.

-An advanced level of English and Spanish verbal and written communication is required. Desirable but not mandatory: Portuguese proficiency.

-Knowledge of Microsoft 365.

-Eager to learn and develop professionally.

-Ability to coordinate services and appointment.

-Advanced or native-level English skills (written and spoken)

-Time management and organizational skills.

-Strong verbal and written communication skills.

-Ability to learn quickly and the desire to develop professionally.

-Ability to work as part of a team.

-Computer proficiency.

-Attention to detail.

-Ability to be proactive and efficient.

-Responsiveness, adaptability, and responsibility.

-Ability to work as part of a team.

-Your own reliable and updated PC, a headset, and good internet speed(at least 30mb/s).
