About the Role
As a Rebate Management Assistant, you?ll play a key role in helping our clients access energy-saving incentives by supporting the Specialist in Rebate Management. You'll ensure accurate data tracking, clear client communication, and reliable document management using platforms like HubSpot. Your support will help drive efficient processes and great client experiences from start to finish.
Key Responsibilities
Incentive Research & Documentation
Assist in researching and organizing available rebate programs
Keep incentive information up to date and accessible
Supplier Coordination Support
Help document agreements and follow up with LED suppliers
Ensure all client benefits are well tracked and communicated
Rebate Process Management
Support in tracking applications and verifying requirements
Keep both clients and the Specialist informed with accurate updates
Project Data Review
Gather and analyze post-project information
Assist in report preparation and suggest areas for improvement
Data Entry & Reporting
Maintain and organize detailed incentive-related data
Contribute to internal reports and strategic evaluations
HubSpot CRM Management
Enter and update client information and documents in HubSpot
Ensure information is accurate and easy to locate
Client Support
Provide guidance to clients during their rebate application process
Ensure they feel supported, informed, and confident throughout
What We?re Looking For
Administrative experience: 2+ years (preferred)
Language: English proficiency (required)
Tech-savvy: Comfortable with CRM platforms, especially HubSpot
Detail-oriented: Excellent at organizing data and following processes
Proactive and service-driven: Ready to support both clients and internal teams
