We are looking for an Executive Assistant to join us remotely from any location in Mexico. The client is located in the United States, an Advanced English level is mandatory.
Hiring: Prestador de Servicios (provide a SAT Tax Official Invoice semi-monthly)
Work Schedule: Monday to Friday
Requirements:
3+ years of proven experience supporting C-level executives or high-performing teams, preferably in the event, creative, or hospitality industries.
Fluent in English (spoken and written) with little to no reliance on translation tools.
Outstanding written and verbal communication skills in English.
Proficiency in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail);bonus points for experience with Slack, HubSpot, Trello/Asana, Canva.
Excellent time management and prioritization skills with a figure it out attitude.
Experience working remotely and comfort with rapid communication, shifting priorities, and deadline pressure.
High emotional intelligence and the ability to support high-energy, visionary leaders who juggle a lot.
Key Responsibilities
Executive Support & Coordination:
Manage calendars, schedule meetings, and coordinate travel across multiple time zones.
Prepare meeting agendas, take notes, track action items, and follow up to ensure completion.
Maintain and organize inboxes, documents, and digital files to ensure nothing slips through the cracks.
Serve as a central point of contact for internal communications and deadlines.
Client Interaction & Event Coordination
Assist in the planning and detailing of client events, from drafting timelines and pulling production details to confirming vendor meetings.
Communicate directly with clients in a professional, timely, and helpful manner.
Support creation of client-facing proposals, recap decks, and presentation materials.
Reporting & Project Management
Collect KPIs and updates from department leads for weekly leadership meetings.
Build clean, visual weekly reports, scorecards, and presentation decks using tools like Google Slides, Canva, and Excel/Sheets.
Support long-term planning through the development of timelines, checklists, and tracking documents.
Administrative Support
Manage invoicing, expense tracking, and light bookkeeping tasks.
Conduct light research on vendors, venues, and tools.
Handle ad hoc tasks and mini-projects that arise in the course of a fast-moving
