We are looking for a highly organized Travel & Logistics Coordinator to be the driving force behind our technical team?s mobility.
About the Role
In this position, you will be the strategic link ensuring our field teams reach their destinations efficiently, safely, and cost-effectively. You will manage the end-to-end travel lifecycle, from initial booking to final expense reporting.
Key Responsibility
Travel Booking: Arrange domestic and international travel (flights, rental cars, hotels, ground transportation) based on team assignments from Dispatch and Project Managers.
Home Travel: Plan and book home or return trips directly with employees.
Agility & Changes: Proactively update, extend, or cancel travel plans as project needs and timelines shift.
Budget & Cost Tracking: Monitor travel expenses across multiple projects, assist in cost control, and create detailed cost reports (including payment methods and cost codes).
Hotel Negotiations: Negotiate corporate rates and lodging costs for current and upcoming industrial projects.
Invoices & Receipts: Prepare, review, and distribute invoices, folios, and travel receipts within the company.
Employee Support: Serve as the primary point of contact for employees regarding travel inquiries or assistance.
Leave Management: Coordinate employee leave requests in sync with the Dispatch and Project Departments.
Vendor Relations: Maintain strong working relationships with hotel and rental car sales representatives.
Policy & Safety Compliance: Ensure all travel adheres to company policies and enroll employees in basic online safety training (OSHA).
Requirements
English Proficiency: B2 Level minimum (Mandatory: The entire interview process will be conducted in English).
Documentation: Valid B1/B2 Visa (U.S. travel readiness).
Education: Bachelor?s Degree completed in Business Administration, Tourism, or International Business.
Skills: Strong negotiation skills, attention to detail, and ability to multitask in a fast-paced environment.
