Facilities Specialist
The Facilities Specialist oversees all building-related activities. He/she is responsible for preserving the good condition of infrastructure and ensures that facilities are safe and well-functioning.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Support the daily operation and upkeep of site facilities, offices, common areas, and employee amenities.
Conduct routine facility inspections and identify maintenance or safety concerns.
Coordinate corrective actions and follow up on open facility issues.
Maintain facility records, documentation, and work order logs.
Receive, track, and coordinate facility service requests.
Schedule and monitor preventive and corrective maintenance activities.
Work with internal teams and external vendors to ensure timely completion of repairs.
Verify completion and quality of maintenance work performed.
Assist in coordinating contracted services such as: · Janitorial services · Landscaping · Pest control · Security services · Equipment maintenance · Monitor vendor performance and report service issues. · Support processing of service requests and purchase requisitions.
Assist with office moves, workstation setup, and employee seating arrangements.
Support meeting room readiness and facility-related employee requests.
Ensure adequate supplies for facility operations and common areas.
Support compliance with company safety policies and facility standards.
Participate in workplace safety inspections and audits.
Assist with emergency preparedness activities and site evacuation programs.
Report hazards and support corrective action implementation.
Maintain facility budgets, invoices, and purchase records as assigned.
Create reports and presentations related to facility metrics.
Update facility drawings, inventories, and asset databases.
Support continuous improvement initiatives within facilities operations. EDUCATIONAL AND EXPERIENCE REQUIREMENTS: ·
High School diploma or G.E.D. required.
0-2 years of experience in facilities, administration, maintenance coordination, office services, or related functions.
Internship or co-op experience is a plus.
ESSENTIAL KNOWLEDGE, SKILLS & ABILITIES:
Understanding of facilities, infrastructure, and administration of corporate office sites.
Strong verbal and written communication skills.
Project management skills.
Strong time management & organizational skills and the ability to prioritize wisely.
Computer knowledge and experience with all Microsoft Office software.
Work Schedule
Must be available to work between 6:00 AM and 6:00 PM. Scheduled shifts may vary within this timeframe, such as 6:00 AM3:00 PM or 9:00 AM6:00 PM, based on business needs.
